Move-Out Procedures

1. CONTRACT CANCELLATION REQUEST: The International Village Student Housing Contract is a lease for the academic year only and is void after June 30. All residents must vacate their apartments no later than this date.

2. All apartment residents who wish to be released from their leases prior to June 30 must submit a Contract Cancellation Request, available at the International Village RSO 30 days prior the requested move-out date. Moving out prior to June 30 is allowable but may result in financial liabilities.

Prior to all move-outs residents must (1) fill out a Departure Evaluation Form, (2) fill out a Forwarding Address form, (3) schedule a Pre-Inspection of their apartment and bed space, and (4) schedule a Final Inspection of their apartment and bed space.

In addition, at this time you will be given a copy of the Move-Out Preparation Guidelines, which will help you understand the areas that International Village staff will be inspecting when you move out and the potential charges that you may incur should any maintenance and/or custodial discrepancies be attributed to you.

3. DEPARTURE EVALUATION: Both for statistical purposes and in order to assist International Village in improving living conditions of future residents, departing residents are asked to provide the general reason for their departure.

4. FORWARDING ADDRESS: Departing residents are asked to provide International Village with an address to which they would like any mail forwarded that arrives in their absence. Mail will be forwarded for residents for a period of one (1) year following their departure. Mail, unfortunately, cannot be forwarded to international addresses.

5. PRE-INSPECTION: a qualified staff person must perform a Pre-Inspection within the 30 days prior to move-out. The condition of your apartment at this inspection is not of critical importance. This inspection is necessary to determine the degree of work anticipated when your apartment is vacated and also to communicate helpful guidelines to you in preparing for the Final Inspection. Although the resident need not be present for the Pre-Inspection, it is sometimes helpful.

Any areas noted by the inspector during the Pre-Inspection are not the ONLY areas that should be given attention when you are preparing your apartment for the Final Inspection, nor would they necessarily result in a maximum charge if left in their present condition. The areas noted merely indicate to you examples of conditions that the Final Inspector might identify as unsatisfactory and which might result in a least a minimal charge (i.e. $5.00). Noted items will help give you an indication of International Village’ expectations.

6. FINAL INSPECTION: A Final Inspection must be performed on the date of physical departure, Monday-Friday (9am-5pm). Weekend and holiday move-outs will require an inspection on the next business day. The Final Inspection documents the condition of the apartment and bed space upon being vacated. Charges are accrued for conditions deemed unsatisfactory. It is beneficial for the resident to be present during this inspection, although it is not necessary.

At the time of the Final Inspection, (1) all of the resident’s belongings and those leased from outside vendors must have been removed from the property, (2) the physical condition of the unit must have been returned as nearly as possible to the condition in which it was given to the resident, and (3) all keys must be surrendered to the housing representative.

7. DEPOSIT: Maintenance and/or custodial discrepancies will be assigned an appropriate charge by International Village, which will be deducted from the resident’s $200.00 deposit on file. The resident’s deposit, less the aforementioned charges, will be forwarded in the form of a check within three (3) weeks. (Please note that ALL residents will incur “standard cleaning charges” based on the amount of time that the apartment was occupied and the apartment size.)

Please note that rent does not terminate with the Final Inspection, but according to the official move-out date as filed with International Village.

Residents will be sent a courtesy notice approximately 90 days prior to the expiration of their lease in order to determine whether or not they intend to renew their lease for another academic year.
